myShift Privacy Policy

Introduction

myShift is operated by AMS IT Solutions ("AMS," "we," "our," or "us"). myShift is the employee-facing companion to a store owner's AMS back-office system. Cashiers and other store staff use myShift to clock in and out of shifts, scan lottery scratchers and inventory barcodes, log cash drawer counts, and coordinate with their store.

This policy explains what information myShift collects, why we collect it, who we share it with, how long we keep it, and the choices you have.

What we collect

Account information

  • Email address — used to sign you in and to send you product, security, and support communications.
  • Display name — used to identify you inside the app and on your store's roster.
  • Phone number (optional) — used only if your store enables SMS shift reminders or if you use SMS-based sign-in.

Employment information

  • Which store or stores you're linked to.
  • Your role (cashier, shift lead, manager, etc.).
  • Your hire date.
  • Your pay rate, when your store uses myShift for payroll. Pay-rate data is visible to you and to your store owner or authorized managers; it is never shared outside your store.

Shift activity

  • Clock-in and clock-out timestamps.
  • Heartbeats — while you are clocked in, the app sends a short check-in (a "heartbeat") roughly every 5 minutes. Each heartbeat includes a location fix so your store can confirm you were on-premises during the shift.
  • Scanned QR codes — when you tap a QR at the register, break station, or safe.
  • Scratcher scans — when you scan the barcode on a lottery scratcher book.
  • Cash count entries — the drawer counts you enter at open, mid-shift, and close.

Location

When you clock in, myShift begins collecting precise GPS so we can verify you're at your assigned store. Location is captured with your clock-in event and with each shift heartbeat while you remain clocked in.

The moment you clock out, myShift stops collecting location. We do not collect background location outside of an active shift. iOS and Android both surface an indicator while location is being read; if you see it and you're not on shift, please contact support.

Camera

myShift accesses the camera only when you tap to scan a barcode, QR code, or lottery ticket. We do not record video, we do not store camera frames, and we do not run background scans of your photo library.

Device information

  • Operating system and version (iOS or Android).
  • myShift app version.
  • Device model.
  • A hashed device identifier that lets us make sure one account isn't being signed in on two devices at the same time. The identifier is a one-way hash — we cannot use it to look up your device or contact you.

Diagnostics

When the app crashes or hits an unexpected error, we collect a crash report through Sentry. Crash reports contain the stack trace, the app version, the OS version, and a redacted view of what the app was doing. They do not contain your password, GPS coordinates, or scanned barcodes.

Why we collect it

  • Payroll accuracy. Clock-in and clock-out times drive what your store owes you. We keep the record straight so paychecks match hours worked.
  • Register accountability. Shift heartbeats, scratcher scans, and cash counts let your store reconcile the drawer and detect issues quickly.
  • Shift integrity. Location verification and the single-device rule prevent one person from clocking in for someone else or splitting a shift across two phones.
  • Security. Device information and diagnostics let us investigate abuse, keep the app stable, and lock down compromised accounts.

Who we share it with

myShift shares data only with the vendors we need to run the product and with the store owner who employs you.

  • Supabase — our data hosting and authentication provider. Supabase stores your account, employment, and shift data.
  • Sentry — receives crash and error reports so we can fix bugs.
  • Twilio — delivers SMS if your store has enabled SMS notifications or SMS-based sign-in for you.
  • Your store owner — sees the employment and shift-activity data described above. That is the entire point of the product.

We do not share your data with advertisers, data brokers, or analytics resellers. myShift contains no ads, no advertising SDKs, and no cross-app tracking.

How long we keep it

  • Active accounts. While you're employed at a myShift-using store, we keep your account and shift history so your store can run payroll and reconcile the register.
  • Financial records. After your employment ends, your store owner is legally required to keep payroll and transaction records for up to 7 years. We retain the data that supports those records for the same period.
  • Deleted accounts. When you delete your account, we mark it deleted immediately and hard-delete the data within 30 days (the extra time lets rolling backups drain).
  • Aggregated analytics. De-identified, aggregated metrics (e.g., "average shift length in July") may be retained longer since they can't be traced back to you.

Your rights

  • Access. You can view your profile, employment info, and shift history inside the app.
  • Correction. If something's wrong (hire date, pay rate, misattributed shift), ask your store owner to fix it.
  • Deletion. You can delete your account from Profile → Delete Account in the app, or by filling out the web form.
  • Export. Email privacy@amsbackoffice.com to request a portable export of your data.

Children

myShift is designed for adults employed at retail stores. It is not intended for anyone under 16, and we do not knowingly collect data from minors. If you believe a minor has created a myShift account, contact us and we will delete it.

California residents (CCPA)

If you live in California, you have the right to know what personal information we collect about you, the right to request deletion, and the right to opt out of the sale of your personal information. myShift does not sell personal information, so there is nothing to opt out of on that front. You can exercise the other rights by using the deletion form or by emailing privacy@amsbackoffice.com.

EU / UK residents (GDPR)

If you live in the EU or the UK, our lawful basis for processing your data is the contract between you and your employer (myShift is how you and your employer track your work) and our legitimate interest in maintaining shift integrity and preventing abuse. You have the right to portability and to erasure. Contact privacy@amsbackoffice.com to exercise either.
